Client Identification (ID) Requirements
In compliance with the UK Anti-Money Laundering Regulations, all clients must provide the following before any services can be activated:
- Photo ID (e.g., passport or driving licence)
- Proof of Address (dated within the last 3 months)
- A selfie photograph clearly showing the client holding their photo ID
Account Activation
Your account will not be considered active — and no services will be provided — until:
a) Full payment has been received for all requested services; and
b) Valid and up-to-date identification documents have been received and approved for every name on the account.
Service Suspension for Non-Compliance
We will not forward mail or provide any account services where:
- ID is missing, expired, or fails our verification checks; or
- There are outstanding unpaid invoices linked to the account.
Mail Handling for Non-Compliant Accounts
Mail for inactive or non-compliant accounts will be held for up to 14 days (free of charge) to allow time for payment and ID submission.
After this period, the mail may be:
- Returned to sender,
- Destroyed, or
- Disposed of at our discretion.
If you request that we hold mail for longer than 14 days, storage charges will apply.
Parcel storage fees may apply after 24 hours.
A disposal fee may also be charged for items not forwarded or returned.
Use of Our Address
You are not permitted to use our address:
- On your driving licence,
- To register a vehicle, or
- To register to vote.
Scope of Service
We provide Mailing Address and Mail Forwarding Services only.
If you have changed your residential address and require your personal mail redirected, you must use the Royal Mail Redirection Service, which is the only legally recognised provider for residential mail redirection in the UK.
Mail & Parcel Forwarding Fees with all of our services are:
- Forwarded mail or parcels sent by Post are charged at the Royal Mail rate x 2 ( + any envelopes or wrapping materials used). A minimum charge applies which is the Royal Mail 100g Large Letter Price x 2
- If we arrange a courier to deliver your mail or parcels, we charge £25.00 ( + any envelopes or wrapping materials used) on top of the courier fee.
- If postage or courier costs are pre-paid by the client (you book your own courier) we charge a handling fee of £12.50 per item ( + any envelopes or wrapping materials used).
- If parcels are collected from our office in person, a handling fee of £2.50 per item collected is charged.
- With the Low User Mail Forwarding Service there is a mail handling fee of £2.50 per item forwarded (or collected), this is charged in addition to any scanning, courier; postage or collection fee. This fee in not charged with the Full Mail Forwarding Service
- For any mail that is forwarded-on by Royal Mail, the minimum postage charge we make is 2 x the current price charged by Royal Mail for a Large Letter, up to 100g.
- If we Scan & Email your mail, we charge 25p + VAT per side of paper (with content) that is scanned. We charge 50p per side if items need to be scanned manually (for example, pages in a bound document).
- Mail Disposal Fee: We charge disposal fees for mail that is not forwarded or returned to sender. These are: Standard sized letters 20p per item; Large Letters & small packets 50p per item; Parcels from £1 per item £10 per item dependent on size and contents.
- No items of Business Mail or Personal Mail or Parcels are forwarded free of charge (except mail from HMRC & Companies House sent to a company or company director that has a Registered Office or Directors Service Address facility; this mail is scanned & emailed free of charge. If this mail is posted then the fees above are charged) All our prices are plus vat. We do not give credit for forwarding mail, the forwarding costs need to be paid in advance of the item being sent.
Engagement and Terms
Use of our address for any purpose — including, but not limited to, as a Registered Office Address, Director’s Service Address, Secretary’s Correspondence Address, Person of Significant Control (PSC) Address, or as a mailing or correspondence address in any capacity — constitutes automatic acceptance of our Terms and Conditions.
For the avoidance of doubt, we explicitly confirm that:
Any use of our address in any of the above capacities, or in any other way, constitutes a binding agreement to our service terms, including applicable charges, billing cycles, renewal conditions, and all other provisions set out in our Terms and Conditions.
Our Privacy Policy:
This website is owned and operated by Ghost Mail Ltd, a UK limited company (Company Number 11432238). We are registered with the ICO (Information Commissioners Office) and we are licensed and supervised by HMRC under the Anti Money Laundering Regulations.
Ghost Mail is committed to respecting privacy at the core of its business values, thus recognizing the need for appropriate protection and management of any personal identifiable information clients share with us via this website or in any other communications.
Ghost Mail has established this Privacy Policy so clients may understand the level of importance we place upon privacy, and the extent of care with which we treat all client information and mail.
Ghost Mail does not collect any information of any nature from anyone browsing our website. We do not use cookies, hidden scripts or any third-party services with the exception of anonymously counting the number of visitors to this website and cookies needed to enable the website to function.
The only information retained is information supplied in the process of subscribing to our services.
Order details, including mail forwarding address, email address and payment method are secured by encryption. In the case of credit card orders, these are completed via the secure websites of our Merchant Accounts. Ghost Mail do not have access to customers’ card details at any time.
We do not store credit card details, nor do we share customer details with any 3rd parties; unless required to by law or for the purpose of collecting debts owed to us.
Ghost Mail does not lend, rent, or sell our client list to anyone, nor do we spam or send unsolicited mails to any email address submitted at any time other than those needed to manage a client’s account.
Please be safe and responsible with your personal data whenever you are online.
All client information is treated with the greatest of respect, in the strictest confidence. Ghost Mail will never reveal a client’s identity unless required to by law or for the purpose of collecting debts owed to us.
Client account information is stored for 7 years after a client account is closed, to comply with the Anti Money Laundering Regulations.

This company is registered at Companies House under company registration number 11432238. These terms also apply to any branch offices, such as our London office at 5 Brayford Square, London E1 0SG.
Ghost Mail Ltd own and operate this website. By using this website, you hereby acknowledge that you have read, fully understood, and agree to be bound to these Terms and Conditions of Service together with all applicable laws and regulations which are construed in accordance with English law and operate in addition to your statutory rights.
Should you not agree to be bound by these Terms and Conditions of Service then you must refrain from using the site.
We will endeavour at all times to maintain the information contained on our website and keep it as up-to-date and as accurate as possible but do not guarantee that information is wholly complete, reliable or free from errors. All materials contained on our website, including (but not restricted to) images, data, illustrations, designs, photographs and all other such material are owned exclusively by Ghost Mail Ltd and should not be used or published elsewhere without our express written consent.
Information provided on our website is completely free of charge but is for information purposes only. You may view and print a copy of website content for your personal use only but may not alter the content thereof in any way whatsoever. Any rights, title and interest in our website content is not automatically transferred to you by copying or downloading any of our material, nor do we deem the information provided therein to be free from errors.
Failure to comply with this request may result in prosecution, at our sole discretion and we therefore reserve the right to disclose any material which may give rise to criminal liability such as your name, email address or any other related information for this express purpose.

General provisions
In these Terms and Conditions of Service, “the Company” and “the Provider” shall mean Ghost Mail Ltd. “The Customer” and “the Subscriber” shall mean any company, firm, organisation or private individual trading with the Company in accordance with these terms and any other terms of business expressly agreed between us.
Limitations of Liability
Ghost Mail Ltd provides this website and all its contents on an “as-is” basis, without any representations or warranties, whether express or implied. This includes, but is not limited to, implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement, all of which are expressly disclaimed.
To the fullest extent permitted by law, Ghost Mail Ltd shall not be liable to any third party or client for any direct, indirect, or consequential damages. This includes, but is not limited to, loss of data, penalties, loss of income, or any other damages or claims arising from the use of this website or our services.
Nothing in this clause shall exclude or limit Ghost Mail Ltd’s liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited under applicable law.
Indemnification
You agree to indemnify and hold harmless Ghost Mail Ltd against any claims, third-party claims, actions, losses, or damages arising from or related to your breach of these Terms and Conditions of Service.
Ghost Mail Ltd reserves the right to seek all available legal and equitable remedies for any breach of these Terms and Conditions of Service, including, but not limited to, the right to block or restrict access to its services or site.

Agreement
An Agreement shall continue from a given period start to period end, unless you have failed to pay any advance fees due. In these circumstances the service will be terminated without notice. Otherwise, an agreement may be cancelled by either party and at any time provided that 30 clear days’ notice is given in writing or by email to customerservice@ghostmail.co.uk.
Service Provision
We will at all times take reasonable and practicable steps to ensure the accurate and efficient dealing with all communications received on your behalf and that mail is handled in accordance with your specific instructions. These should be clearly detailed on your application form. However, no warranty or liability is accepted by us, our staff or agents in relation to services provided, nor for any losses or damages suffered by you which shall include money, valuables or loss of business, however so caused.
Address Service
Our Services are priced Per Name on the mailbox. Should you wish us to include an extra business or personal name for the purpose of receiving emails then this will incur an additional fee per name.
Ghost Mail operates from two addresses, under a variety of trading names. These Terms and conditions apply to both of these addresses and any further addresses that may be added from time-to-time. These addresses are: 61 Bridge Street, Kington. HR5 3DJ and 5 Brayford Square, London E1 0SG.
Any arrangements made for routine posting or faxing or emailing of messages and/or mail is done so entirely at your own risk. We will not accept liability or responsibility for non-delivery of messages and/or mail.
All mail and/or deliveries are taken in entirely at your own risk and we will accept no liability or responsibility whatsoever for any losses, shortages or damages howsoever caused.
If you expect to receive large, bulky or heavy items then we must be notified either by phone or email prior to the expected delivery date. Mail Storage Fees may be charged for these items from when they arrive.
You will pay any subscription fees (together with any special handling charges if requested) in advance, failing which we reserve the right to refuse to handle messages without prejudice to any claim for monies owing.
You also agree to pay the appropriate administration fees for mail forwarding.
You shall notify us, in writing or by email, of any change of address or contact details at the soonest opportunity. We reserve the right to suspend or terminate your service if we are unable to contact you in an appropriate manner.
You are entitled to print or display our mailing address on all stationery, online or on other products only during the term of our agreement.
You agree that you will not use the service for any illegal or illegitimate purposes, and that such uses will constitute grounds for immediate termination of services by us. You also agree to provide us with an acceptable form of ID as required under any current or future Money Laundering Regulations.
We will make every reasonable effort to ensure accurate and expeditious handling of mail and/or messages, but no responsibility shall attach to Ghost Mail Ltd or its employees, agents or officers for any damages, injuries or loss howsoever arising or to whomsoever caused.
We will also take all reasonable steps to ensure accurate and efficient dealing with all communications received on your behalf and that mail is handled in accordance with your instructions. However, no warranty or liability is accepted by us, our staff or agents in relation to services provided, nor for losses or damages caused to you.
We will hold or mail for free for a maximum 14 days without prior arrangements being made for mail storage, after this time mail storage fees may be charged (after this period it will be returned to sender or disposed of appropriately if a mail storage service is not in place). For large parcels, mail storage and handling fees may be charged as listed in our Mail Storage Service.
Mail received for unsubscribed services will be held for a maximum of 14 days initially, to enable clients to purchase the appropriate service; after this period it will be returned to sender or disposed of appropriately.
You cannot use our address for:
- MLR Registrations: Ghost Mail Ltd do not allow MLR registrations.
- Electoral Registration: Ghost Mail Ltd do not allow use of either the office address (61 Bridge Street, Kington, HR5 3DJ; or 5 Brayford Square, London E1 0SG) nor the residential address above our Kington office (61a Bridge Street) for the purposes of electoral registration. To provide false information in the pursuit of electoral registration is a criminal offence which carries a custodial sentence and/or fine. All such breaches will be reported to Police for investigation.
- Driving Licence & Vehicle Registrations: Documentation from DVLA can of course be received by Ghost Mail Limited, however, neither the office address ((61 Bridge Street, Kington, HR5 3DJ; or 5 Brayford Square, London E1 0SG) nor the residential address above or Kington office (61a Bridge Street) should feature on DVLA documents that belong to you. DVLA issue appropriate guidance on their website https://www.gov.uk/change-address-driving-licence . Please note that there is a £1000 fine for failing to tell DVLA when a license holders address changes.
- Prohibited Goods: include: Medicines, Drugs, Aerosols, Nail Varnish, Polish & Gel, Perfumes & Aftershaves. This is not a comprehensive list.
- Sending Lithium Batteries (or not sure): Only send in strong rigid packaging and connected to an electronic device such as mobile phone, digital camera or laptop. Maximum two per consignment.
- Warning: UK Controlled Drugs: Any parcels containing controlled drugs Class A, B and C (steroids) will be confiscated and destroyed by the UK Border Agency (Customs). In the event of such a parcel being delivered to our premises, the police will be informed of the sender and the parcel handed to the Police for analysis and possible police action.
The Mail & Parcel Forwarding Fees with all of our services are shown above and in the service description for each of the relevant services we provide.
We reserve the right to change any of our prices and fees at any time, without notice.
Mail & Parcel Storage:
We are a Mail Forwarding Centre, not a mail storage centre, so we have limits on the storage we provide. If mail or parcels cannot be forwarded immediately, for example by (but not limited to) funds or an appropriate service being needed:
- Mail – (letters up to Royal Mail Large Letter size) is held for 2 weeks. After this period your mail, be returned to sender or disposed-of in any way see fit. We will hold mail for longer than this if requested by a client and Mail Storage Fees will be charged for this facility, as listed in the Mail Storage Service displayed on this website.
- Parcels – we expect to be able to forward parcels the next working day; if this is not possible Mail Storage Fees will be charged as listed in the Mail Storage Service displayed on this website. Parcels will be disposed-off in an appropriate way if mail storage fees are not paid, or if the parcel is not wanted.
- Mail that has been Scanned & Emailed – This mail will be held in our archives for up to 4 weeks, after which it will be securely shredded. We charge £2.50 per item to retrieve this mail if you request that an item is retrieved from our archives for forwarding by mail or courier, (postage or courier fees will also be charged when this mail is forwarded).
Unclaimed Mail:
Where a client cannot be identified for any mail and parcels delivered to our address the item will be stored for up to 2 weeks. If it remains unclaimed after this time, we may then return it to sender (if this can be identified), destroyed, or disposed of in any way we see fit.
Insurance for Parcel and Mail Forwarding Clients should ensure adequate insurance for Parcels and Mail being forwarded by us from our premises. If cover is required, it is the client’s responsibility to notify us prior to the parcel being shipped, when we will advise or arrange suitable cover. We accept no liability for loss/damage goods in transit outside this insurance cover, if arranged. Clients arranging their own shipping are not covered by our insurance. Goods are not insured whilst on our premises. Goods of high value should be brought to our attention.
Registered Office Address Services:
You understand and agree that any mail other than statutory mail from HMRC and Companies House will be returned to sender unless you have also purchased a Business Mailing Address service which is current and active.
By default, mail from HMRC & Companies House will be opened, scanned & emailed to clients; by using this service you agree to this. This mail can also be posted, but postage costs x 2 will be charged for this. There is a minimum charge for postage, which is 2x the current Royal Mail Large Letter 100g price. You will also be charged for any envelopes or packaging used when your mail is posted.
If you have not purchased a Registered Office Service for a Company, you do not have our permission to use our address as the Registered office address. If you use our address without permission, you may be committing an Offence by displaying incorrect information on Companies House.
A Registered Office Service allows a Company to use our address as a registered office address on Companies House. If you have not purchased a Directors Service Address facility for each Director, Secretary or PSC showing as using our address as a correspondence address on Companies House, you do not have our permission to use our address for this purpose. If you use our address without permission, we will submit forms to Companies House to have it removed. You may also be committing an Offence by displaying incorrect information on Companies House
We will charge fees for every Company and every Director & Secretary shown as registered at our address on Companies House. By using our address, you agree that these fees are payable.
By using our address as a Registered Office Address or a Directors Service Address you authorise us to submit documents and forms to Companies House on your/your company’s behalf if needed or requested (for example, to change the address being displayed and submitting Confirmation Statements etc.). We may also submit documents or forms to Companies House and other bodies to inform them of suspect or illegal behaviour and incorrect listing information and/or to change the address (away from our address, possibly to your home address or the Companies House Default Address) of any company or director using our address without paying the appropriate fee or without our permission. (For the avoidance of doubt, having a company or director listed at our address without paying the appropriate fee means that they are using our address without our permission).
Use of Address as a Registered Office – Fees and Terms
Where our address is used as the Registered Office Address for any limited company, a service fee becomes immediately due and payable. This fee covers the use of our address for a period of 12 months from the date of commencement.
At the end of this period, the service must be renewed and the applicable renewal fee paid if the company continues to use our address as its Registered Office.
Please note:
No discounts, credits, or partial refunds are available if the company ceases to use our address before the end of the 12-month period for which payment has been made.
By using our address in any capacity — including but not limited to as a Registered Office, Directors’ Service Address, or for mail forwarding — you agree to and are bound by our full Terms and Conditions, as published on our website and available on request.
Directors Service Address
You understand and agree that the Directors Service address is not a post receiving service (except for mail from HMRC & Companies House) and is to be used only for the purpose of updating the service address of a Director at Companies House. You understand and agree that any mail other than statutory mail from HMRC and Companies House addressed to the Director of a Company will be returned to sender unless you have also purchased a Business Mailing Address service which is current and active.
By default, mail from HMRC & Companies House will be opened, scanned & emailed to clients; by using this service you agree to this. This mail can also be posted, but postage costs x 2 will be charged for this.
If you have not purchased a Directors Service Address facility for each Director (per Company) showing our address on Companies House as a correspondence address, you do not have our permission to use our address as a Directors Correspondence Address. If you use our address without permission, you may be committing an Offence by displaying incorrect information on Companies House.
We will charge fees for every Director, (per Director, per Company), shown on Companies House as using our address as a Correspondence address. By using our address, you agree that these fees are payable.
Use of Address as a Directors’ Service Address – Fees and Terms
Where our address is used as a Directors’ Service Address at Companies House, a service fee becomes immediately due and payable. This fee permits the use of our address for this purpose for a period of 12 months from the commencement date.
At the end of this period, the service must be renewed and the applicable renewal fee paid if the address continues to be used as a Directors’ Service Address.
Please note:
No discounts, credits, or partial refunds will be issued if the Director ceases to use our address part way through the 12-month period already invoiced and paid for.
By using our address as a Directors’ Service Address — or for any other purpose — you expressly agree to and are legally bound by our full Terms and Conditions, which are available on our website or upon request.
Persons of Significant Control
A Client with a Director’s Service Address facility may also use our address on Companies House in the listings of Persons of Significant Control for a listing under their name (for the same company that they have an active Directors Service Address facility for). If the listing is for a person that does not have an active Directors Service Address facility, the use of our address will be charged for at the current price for a Directors Service Address facility and is charged per name, per company, per year (or part thereof).
Use of Address as a Person of Significant Control (PSC) Correspondence Address – Fees and Terms
Where our address is used as a Person of Significant Control (PSC) Correspondence Address on the public register at Companies House, a service fee becomes immediately due and payable. This fee entitles the user to utilise our address for this purpose for a period of 12 months from the date of first use or invoice, whichever is earlier.
At the end of this period, the service must be renewed and the applicable renewal fee paid if our address continues to be used for this purpose.
Please note:
No refunds, pro-rata adjustments, or partial credits are offered if the PSC ceases to use our address before the end of the 12-month invoiced period.
By using our address in any way, including as a PSC Correspondence Address, you automatically accept and are legally bound by our full Terms and Conditions, which are available on our website or by request.
Company Secretary’s, Partners & Guarantors etc
Company Secretary’s, Partners & Guarantors etc. may use our address on Companies House. The fee charged for this will be the the current price for a Directors Service Address facility and is charged per name, per company, per year (or part thereof).
Use of Address by Company Secretaries, Partners, Guarantors, or Other Associated Persons – Fees and Terms
Where our address is used as the correspondence or service address for a Company Secretary, Partner, Guarantor, or any other individual associated with a company or entity, a service fee becomes immediately due and payable. This fee covers the use of our address for a period of 12 months from the date of first use or from the date of invoice, whichever is earlier.
At the end of this 12-month period, the service must be renewed and the relevant renewal fee paid if our address continues to be used in any such capacity.
Please note:
No refunds, pro-rata reductions, or partial credits are available if the use of our address ceases before the expiry of the invoiced period.
By using our address in any capacity, whether authorised or unauthorised, you automatically accept and are bound by our full Terms and Conditions, which are available on our website or upon request.

Provision of Services to a Trust
Before we can provide any service to a Trust, we are required to obtain proof that the Trust is registered with the Trust Registration Service.
A trust can download proof of registration from the HMRC trust registration online service.
If the trust does not provide us with this proof, we are required by law report this to HMRC.
Fees for Sending Forms to Companies House
We will charge a £25 Admin Fee for submitting forms to Companies House on behalf of a client. This includes, but is not limited to: Changing a Registered Office Address; Changing a Director’s or PSC’s (Persons of Significant Control) details; Withdrawing a form RP07 (or similar) to keep a company at, or return a company to our address.
We will charge a £45 Filing Fee (plus any Companies House fees) for submitting a Confirmation Statement and £65 for filing Dormant Accounts.
Mail Scan & Email Service
By default, mail will be opened, scanned & emailed to clients; by using this service you agree to this. This mail can also be posted, but postage costs x 2 will be charged for this, plus any other applicable service charges.
Provision of Landline Numbers:
Landline numbers are only rented monthly, they do not become your property. All rights for these numbers remain with Ghost Mail Ltd. We reserve the right to suspend or cancel services at any time, at our sole discretion.
Call Forwarding Services: Forwarding is free of charge to most landline and UK mobile numbers if the destination phone is within the UK. If the number forwarded-to results in fees being incurred these fees will be charged to you.
Forwarding Fees will become chargeable if the destination phone is taken overseas.
Any fees of any kind incurred by the number we provide will be chargeable to you. Your service may be suspended at any time if there is an unpaid invoice on your account; we recommend depositing funds to your account to cover the service cost and any potential additional fees. You must let us know if you are planning to go overseas with the destination phone so that we can set up a call answering service, or if requested, ensure the call forwarding continues to work whilst you are overseas. (A deposit may be requested in this case). This service can be changed to a call answering service anytime, upon request, in which case our call answering fees will apply.
Call Answering Services: Our in-house customer service team – based at our London Office – will answer your business calls using your business name and take a message.
This will be forwarded to you by email.
Each message forwarded is charged at 98p + vat.
Our office hours are 9 – 6 Monday to Friday (excluding Bank Holidays). Out of hours, the caller can leave a voicemail message, a copy of which will be forwarded to you the next working day.
A fee will be charged for this message in the usual way.
Shortly after a message is forwarded an invoice will be raised for the service. The Call Answering Service is charged for monthly, and an invoice will be raised monthly for the service. It is an easy-in-easy-out service, and you can cancel the service at any time.
Please note: For both of the above services, if you give up your number it may be re-allocated and you may not be able to get it back.

Payment by Direct Debit: We request that clients set up a Direct Debit facility to pay their service and forwarding fees, if this is possible in your country. A Direct Debit sign-up form will be sent to you if it is.
Opening of Mail or Parcels
We will not normally open client’s mail or parcels unless requested to do so or if it is part of the service we offer. However, we reserve the right to open and inspect any mail received here if we deem it necessary. (For example, but not limited to: suspicion of controlled drugs; to identify what a letter or parcel contains; to enable a correct description when forwarding on; to identify who the item belongs to; if our address is being used without our permission; an item arrives damaged and needs re-packing; etc.). We also reserve the right to return, report to the authorities; act upon or otherwise dispose of mail. If you use our address for any service, paid for or unpaid, you agree to this.
We may also need to open and inspect/verify the contents of mail & parcels prior to forwarding; as we need to declare to carriers/postal services (and HM Customs/overseas Customs if the item is being sent overseas) the contents and value of items being forwarded.
Large Parcels
We request 24 hours’ notice if you are expecting a parcel exceeding 1000mm in any direction. Please email customerservice@ghostmail.co.uk with details of your delivery as soon as these are known to you.
When a large parcel arrives we will notify you by e-mail and will normally require forwarding of this item promptly.
For large parcels Mail Storage Fees will be charged, as listed in the Mail Storage Service description.
We cannot normally accept anything that exceeds 2m in any dimension and/or anything over 25kg in weight.
If we are not made aware of your large parcel delivery in advance and agree that we will accept the item, then we remain at liberty to refuse your parcel.
Cancellation
Private Individuals: If the Service you purchased has not been used, you can cancel your Service and get a refund at any time from the moment you place your online order, and up to 14 days from the day your service commences (your cooling-off period). If the Service has been used in any way during the cooling-off period it is non-refundable, as are any fees charged for mail forwarding or any other services provided, in which case we will keep what’s necessary to cover the cost of services (including our fees) provided up until you cancelled.
If you didn’t pay any money but we provided services during the cooling-off period at your request, you will be expected to pay them.
(Unless a different date is requested at the time of the order, your service will commence immediately upon purchase).
Our Refund Policy:
Sales to Businesses: Sales made B2B (our businesses selling to other businesses) are exempt from the Consumer Contracts (formerly Distance Selling) regulations and these services are non-refundable.
Refunds are not normally available for business services (see above), but we may refund at our sole discretion in exceptional cases; in this event a £25 (+vat) admin fee will be charged.
Any unused postage or scanning Deposits at the end of the contract may be refunded (less a £12.50 admin fee charged at our sole discretion); or may be transferred to a similar service if requested by a client and agreed to by us, at our sole discretion.
Sales to Individuals: If the Service you purchased has not been used, you can cancel your Service and get a refund at any time from the moment you place your online order, and up to 14 days from the day your service commences (your cooling-off period). Your address service will be available for the period of time purchased. We will not provide a Pro-rata refund (for the period that is unused) if you decide not to use our address for the full term covered. (For example: a Registered Office facility is a 12 month service; if you move your company away from our address during the 12 months covered no partial refund will be available).
For all account types: Once an account has been closed and refunded, a £25 (+vat) Admin Fee will be charged to re-open the account. New services will also need to be purchased to enable the account to operate.
Unpaid Invoices:
Ghost Mail Ltd use debt collection agencies to collect unpaid invoices that are outstanding for more than 60 days.
Once an invoice is outstanding for 60 days this may then be passed over to a debt collection agency. A charge of invoice compensation may be added to the outstanding amount, along with an annual interest divided and added daily to the amount. Once the debt has been passed to a debt collection agency, we at Ghost Mail Ltd have no control of the debt. Providing the debt is paid in full, we will continue to provide you with the services you signed up for. However, if you do not pay the amount owed, this will be chased and services to you or your company will be suspended. If you have any post this will not be forwarded to you and may be returned to sender. If you change your address on Companies House after an invoice is issued, the full amount will still stand. If you continue to use our address and the invoice is unpaid, we may file a RP07 form to Companies House. They will send a letter to the address registered on Companies House. If there is no response the registered address will be changed and defaulted to Companies House. (Please note the directors correspondence address may not change automatically. The director is personally liable for the debt for this service, not the registered company).
You may be taken to court to claim back debts owed to Ghost Mail Ltd.
Payment Charge-backs
If a client initiates a charge-back of a payment (made by any payment method), we charge a minimum of 1 hour’s administration time plus any bank or merchant account fees incurred. Any unpaid services as a result of a charge-back will become payable immediately.
Upon receipt of a charge-back, a client account will be suspended immediately and we will remove our address from any listings on Companies House and elsewhere until the matter is resolved.
Identification (ID Required).
In all circumstances, for every client, we require two forms of personal identification (ID) and a Selfie. To use our services in any way, we will require you to provide us with one piece of photo identification (for example, a driving licence, national ID card or passport) and one proof of address (to be dated within the last three months from an official source such as a bank statement, utility bill or tax statement, etc.). We will also require a Selfie with you holding a copy of your photo ID. We reserve the right to request additional or other forms of ID if, at our sole discretion, we judge this to be necessary
For companies and other organisation using our address we will require the ID for every: Director; Person of Significant Control and Beneficial owner.
In some circumstances we may also request your ID documents to be certified / notarized.
We will not be able to provide any service until we hold acceptable ID for an account. In the event that you fail to provide such documentation to us then we reserve the right to cancel or suspend your account without refund of any monies paid to us.
Identification can be provided to us in a number of ways:
- By completing the appropriate form on our dedicated ID website at: www.accounts-processing.com
- By sending the required documents to: id@ghostmail.co.uk
- Bring in person the two requested original identification documents into our office in Kington or London. A staff member will then check the documents and sign and date this to verify the identification. They may also take a photograph of you holding the photo ID.
- Have the identification sent and certified by a professional person who is not already a friend or a relative of the applicant for example an accountant, solicitor, senior civil servant etc. The certifier will also need to sign, date and print their name in full on each copied document. They will also need provide their business contact details including address and telephone number.
Documents must be received within 30 days of the registration of your application, failure to provide the correct documents then we reserve the right to cancel or suspend your account without refund of any monies paid to us.
We undertake an annual ID Update and clients are required to provide updated ID annually to keep their account active. Failure to provide updated ID may lead to an account being suspended or closed.
When you purchase services from us your acceptance of these Terms and Conditions of Service mean you are granting us authorization to undertake an online credit search if needed. This is for the purpose of verifying your identity to help us comply with anti money laundering and ‘know your customer’ regulations. To do this, the Credit Search Agency will check the information you have provided about yourself with information held about you on public databases. It will leave a soft footprint on your credit search file, but this will not have any effect for future credit applications. A record of the search will also be retained by us.
